And doesn't that HCC thing have an entrance fee or something? I might pop in there too.

Here's a map with the location of the Jaarbeurs and Utrecht CS. I've also drawn a circle around the likely meeting area until I've found a good meeting place. The are a few cafes and restaurants there, so it shouldn't be much of a problem.
Mercator: The online ticket service at the HCC site states that tickets cost fl. 15,50 ordering in advance can be handy. Otherwise you'll have to wait in line to buy a ticket at the HCC itself. Should you want to go in.

To give an estimate of the size of the event. Well I think I've found a nice meeting point. It's the cafe "de marketier" next to exit that leads to the Jaarbeurs. If you come from the station you'll walk thru a long hall with stores to the right. Walk to the end of the hall until you see the main exit with the escalators the cafe is just to the right. Also see the attached map. I suggest we meet next to the entrance of the cafe. I'll see if I can find something conspicuously to wear that doesn't make me look like a complete git. That way we should have no trouble missing each other.
