Another thing - if they don't have wireless, we can always bootstrap it by bringing along a wireless router or Airport Express.

Incidentally, a projector is a must, as well as a decent projector screen. Firaxis will have a few lying around which they might be able to lend us; otherwise we could borrow one from somewhere else, or if all else fails, just rent one.
You can buy little wireless signal detectors that aren't too expensive, but ultimately the best measure is turning on a laptop.

Ah, maybe I'm misunderstanding. If there are multiple conference rooms, then projectors in each is overkill. But projectors trump LCDs not only in ability to create large images, but also cost; they're much cheaper. Also, if you've got a big room with a lot of people, then a projector is the only way to let everyone see a presentation (especially if anyone happens to be playing Civ on that screen).
(I understand an LCD to be an LCD monitor too).

I think the LCD projector is a real projector/beamer-thingy. I don't know if it's included in the rent, but usually, these things go for $300 to $500 for a day.
The cheeky option is to buy a projector, and then return it with the receipt a couple of days later

I was at GenCon last summer and the Star Wars Celebration. All the major presentations were backed up by a projector of some kind. Not an LCD.

Just stumbled onto this thread, but "ApolyCon" looks like it will be quite the event - great work so far in laying the groundwork!
John, this may be getting a bit ahead of things in your planning, but if you're looking for Sponsors to help offset some of the costs, we (BattleGoat Studios) would be very interested in becoming a sponsor for this event.

Summary: A convention of Apolyton members will be held in N. Baltimore MD on July 14th-16th, 2006. The purpose of the convention is to meet, game, hold workshops and panels, thank Mark and Dan for their years of Apolywork, play golf, meet Sid Meier and Brian Reynolds, have a large-scale banquet/cookout, laugh at Imran for doing "booth ****", eat, drink, and be merry. This is not a trade show but a meeting of friends with a common interest - the works of Sid Meier and Brian Reynolds.
There's a lot going on! Don't forget to check the Volunteer thread (as if you could've missed it, what with all 4 threads).

I believe that on that note, this thread has served its particular purpose. At this point, with the convention now having its own forum -- the comitttee being formed and growing -- discussions branching out -- it's time to retire this thread.
